Frequently Asked Questions

What is an apostille, and why do you need one?

An apostille is a certificate placed on a public document or attached to it so that the document can be used in another country. It authenticates the signature and seal, but does not certify the document’s contents.

You may need an apostille for a commercial register extract, articles of association, a notarised power of attorney, a diploma or a certificate. Apostilles are used between countries that are parties to the Hague Apostille Convention. GTPartner.ORG can help you check whether your document needs one.

Who issues apostilles in Estonia, and how much does it cost?

In Estonia, apostilles for Estonian public documents are issued by notaries. GTPartner.ORG handles the process for you.

Articles of association or an Estonian Commercial Register extract in English with an apostille cost €79 per document. The notary’s fee is included. The price excludes VAT.

Translation into another language and delivery of the original are charged separately. We agree on the total cost before starting.

How long does it take to get an apostille?

The standard process through a notary takes around 5 working days. Through GTPartner.ORG, an apostille for Estonian documents can be arranged within 1 working day after we receive all the necessary documents and information.

Additional time is needed if the document must first be obtained, translated or copied and certified. Documents with an electronic apostille are delivered digitally; paper originals are sent by post or courier.

What is the difference between an apostille and consular legalisation?

An apostille is a simplified form of authentication for documents intended for use in another country that is a party to the Hague Apostille Convention.

Consular legalisation involves several stages: the document is authenticated by the relevant authorities and by the embassy or consulate of the destination country. It may be required when the apostille procedure does not apply and no agreement removes the need for legalisation.

GTPartner.ORG’s assistance with legalisation costs €99 per document. Consular fees and courier costs are charged separately. The total cost depends on the destination country.

Do documents sent to China need an apostille?

For Estonian public documents intended for use in China, an apostille is generally sufficient instead of consular legalisation. This procedure has applied since 7 November 2023. Apostilles were already used in Hong Kong and Macao before that date.

The receiving organisation may have additional requirements for the translation and format of the document. GTPartner.ORG helps you check these requirements and prepare your documents.

How do you legalise documents for use in the UAE?

Estonian public documents intended for use in the United Arab Emirates (UAE) require consular legalisation. GTPartner.ORG arranges the translation, the necessary authentication in Estonia and submission to the UAE consular section in Helsinki.

The cost depends on the type of document: commercial documents: from €800 per document, including legalisation and a certified translation in Estonia; personal documents: from €260 per document; courier service: €300, regardless of the number of documents in the same shipment.

We agree on the total cost before starting the process.

How can you obtain Estonian articles of association or a Commercial Register extract in English with an apostille?

GTPartner.ORG obtains the articles of association or register extract in English and arranges the apostille through a notary. These documents may be needed to open a bank account abroad, confirm a person’s authority to represent the company or participate in a tender.

The cost is €79 per document, including the notary’s fee, excluding VAT. If you need the document in another language, we can also arrange a certified translation at an additional cost.

How can you obtain an Estonian tax residency certificate?

A tax residency certificate confirms that a company is a tax resident of Estonia. It may be required abroad, for example to claim benefits under a double taxation agreement.

The certificate is issued by the Estonian Tax and Customs Board. Companies can request it through the e-MTA portal.

GTPartner.ORG obtains the certificate for €50. Translation and an apostille can also be arranged as additional services if required.

How much does a certified translation cost?

A certified translation costs €75 per page, excluding VAT. The total cost depends on the amount of text, the language pair and the required format. An apostille, if needed, is charged separately.

GTPartner.ORG arranges the translation and certification in a form accepted by the receiving organisation. We agree on the price and turnaround time in advance.

Who provides certified translations in Estonia?

In Estonia, official certified translations are provided by sworn translators — professionals authorised to translate and certify documents.

Whether a translation certified abroad will be accepted depends on the receiving authority’s requirements. If there is no sworn translator in Estonia for the required language, a translation through an intermediate language, such as English, may be necessary.

GTPartner.ORG finds a suitable translator and helps you choose the appropriate procedure.

Do you need to visit Estonia to get an apostille or a translation?

Usually, no visit is needed. GTPartner.ORG manages the process remotely and handles communication with the notary and translator. If the original document is required, you can send it to us by post or courier.

Completed documents can be delivered electronically or on paper, depending on their format and the receiving organisation’s requirements.

Delivery of paper originals is charged separately: standard post within Europe: approximately €17; express delivery: approximately €65.

How do you prepare a power of attorney abroad for use in Estonia?

A power of attorney generally needs to be notarised in the country where it is signed, then apostilled in that same country. If the apostille procedure does not apply, consular legalisation may be required. Certain international agreements remove the need for these additional formalities.

A certified translation may also be required. The translation language should be agreed in advance with the Estonian notary or authority receiving the power of attorney.

GTPartner.ORG prepares the wording in advance, checks the formal requirements and arranges the necessary translation.
